Class Agent Program
A Class Agent is a designated alumni Brother who serves as a vital communication link to alumni who graduated in his class year and adjacent class years.
It is a very tangible way for an alumni Brother to volunteer in a meaningful way which adds tremendous benefit to the Fraternity. It is a role which does not require a tremendous amount of time, does not ask for attendance at numerous meetings, but which will provide personal satisfaction to the Brothers who choose to volunteer in this manner. In some cases it is merely adding some structure and enhancing what many of our Brothers already do – keep in touch with each other!
To serve as a Class Agent you don’t need any experience at all! It does not matter whether or not you served as an officer as an undergraduate, it does not matter whether or not you are working, retired or in between jobs, it doesn’t matter whether or not you’re computer savvy.
Typically a class agent should represent no more than 5 years (his own graduation year and the 2 preceding graduation years and the 2 following graduation years)
A more desirable coverage would be his own year plus the year before and the year after.
Primary responsibilities of a Class Agent include:
- Working with the Alumni Board to facilitate communication of and attendance at corporate sponsored alumni events through e-mail, phone contact and personal contact
- Maintaining an updated directory including mailing address, phone numbers and e-mails of alumni in their designated years and providing updates to the Alumni Board
- Developing special events, unique anniversary celebrations and other get-togethers for alumni of their designated years to support the lifetime experience of SigEp at Rutgers
To support the success of the Class Agent program, the Alumni Board of Raritan Sigma Phi Epsilon Corporation will do the following:
Primary responsibilities of the Alumni Board include:
- Provide to each Class Agent updated contact information as it appears in the Corporation’s records for the Brothers in the designated years
- Advertise any special events and get-togethers in the Raritanian and on the website
- Send a formal E-Vite to Brothers in the designated years for any special events and get-togethers
Identification of Class Agents and Length of Service
Class Agents can be self-identified or specifically sought out by the Alumni Board.
The term of a Class Agent is “open-ended”. There is no minimum or maximum period of time for which one may serve as a Class Agent. However, if a Class Agent is deemed by the Board to not be fulfilling the responsibilities asked, then the Board may seek to find a suitable replacement.
Use of Personal Information
As a Class Agent, a Brother is expected to safeguard the data with which he is provided to perform his role. Our Brothers share their personal data with us out of a desire to stay in touch and maintain relationships developed during undergraduate years. At no time should the data of any members be e-mailed, copied, or otherwise used for any purpose beyond the social networking for which it is provided. This would include not using the data for the solicitation of any goods or services.
Liability & Risk Management
As a formal program of the Alumni Board it is expected that any Class Agents, acting in their official duties, will be covered under the National Fraternity’s Insurance policy. However, coverage under this policy requires that the Fraternity’s risk management policies be followed. Upon officially being appointed as “Class Agent”, a Brother will receive a copy of the Fraternity’s risk management policy. as well as the expectations of a Class Agent including the safeguarding of all information in your possession and committing not to sell, reproduce or use the data for any purpose other the social networking for which it is intended.
